We will constantly strive to exceed our client and travelers’ expectations.

With this in mind, we value highly our network of partners and suppliers, who are independent boutique providers. Furthermore, a mutual respect and understanding of an partnership with our clients, referring to as the Agent is equally important.

NORDFOLK Travel, is a Provider, serving solely as a broker rather than a tour operator, emphasizes that the Agent bears the complete responsibility for adhering to applicable EU Package Travel Directives and relevant retail travel regulations in their jurisdiction, ensuring compliance in all aspects of the travel itinerary managed.

NORDFOLK Travel is a DMC, and operates as a Business-to-Business organization, and therefore accept bookings only from travel agents, tour operators, professional travel planners and companies, referring as Agent.

HOW WE WORK

Creating bespoke itineraries requires a detailed understanding of the area and customer preferences, including specific costs. Therefore, a planning fee may be necessary to compensate for the additional time and effort required for larger projects.

We reserve the right to add a 10 - 15% service charge, depending on the complexity of the total program. This service charge reflects the value of the expertise and time invested, along with having a dedicated contact person throughout the travers stay, ensuring a seamless journey. The fee covers management, personalized trip planning, handling, and operational charges before and during the trip.

Upon confirmatation, a 30% non-refundable deposit is required to finalize the booking. Payment of a deposit is a direct acceptance of these terms and conditions. The remaining balance is due 45 days prior to your scheduled arrival date in Norway.

The traveler may postpone or cancel the journey up to 44 days before the scheduled arrival date. In case of postponement, NORDFOLK will do everything in order to negotiate the best flexible outcome together with our partners if one needs to postpone. However, a no show is looked upon as pure cancellation and will not be re-scheduled.

If there is difficulties with cancel a trip, we will inform as soon as possible.

Should a journey be cancelled less than 45 days prior to a scheduled arrival date, 100 % of total amount will be charged.

Prices may be subject to change if postponements affect specific dates or seasons or changes in the program.

If adding extra charges when traveling or after receiving invoice, NORDFOLK reserves the right to add charges that might occur.

CANCELLATION

A cancellation will be subject to a cancellation charge as follows:

Cancellation 90 days prior to arrival date:

30 % of total amount

Cancellation 60-89 days prior to arrival date:

50 % of total amount

Cancellation 46 -59 days prior to arrival date:

80 % of total amount

Cancellation less than 45 days prior to arrival date:

100 % of total amount.

PAYMENT

Preferable payment is by wire/ bank transfer with an invoice in NOK.

NORDFOLK also accepts payment with credit cards via a payment link by Flywire. We accept American Express, VISA and Mastercard. Payment with credit card/ VISA/ Amex requires a transaction fee of 2,95%.

We reserve the right to correct errors in the prices of confirmed journey and reserve the right to change prices due to increased costs of goods, services, taxes and fees or other costs that are controlled by external parties.

It is a condition of this contract that a payment of invoice is an approval the content if these terms and conditions including our privacy policy.

DAMAGE

The travelers or organiser are financially responsible for any damage caused to hotel rooms, fixtures, or other equipment.

FORCE MAJEURE

If circumstances should occur, that are beyond our control - such as strikes, fires, extreme weather and other events that cause the travelers stay or activity not to be carried out, we reserve the right to cancel the stay or activity without being responsible for payment of compensation. In general, bad weather is considered normal and does not give the customer the right to cancel or change any booking.

INSURANCE

All trips are made entirely at your own risk. It is a condition of this contract that the traveler are fully insured for your destinations, activities and personal requirements.

All guests traveling with NORDFOLK must be covered by a cancellation insurance policy with an insurance company, covering cancellation due to illness, among other reasons. Additionally, it is recommended that all guests have valid travel insurance. It is a condition of booking that the traveler have comprehensive travel and medical insurance to cover oneself, as well as any dependents or traveling companions, for the duration of the trip. This insurance should include cover for, but not be limited to, the following eventualities:

Compulsory Insurance:

  • Emergency evacuation expenses

  • Medical expenses

  • Repatriation expenses

  • Recommended Insurance:

  • Cancellation or curtailment of trip

  • Damage/theft/loss of personal luggage, money and/or goods

BOOKING TERMS

Should any extra costs be incurred during the trip such as additional services provided and purchases made on the travelers behalf that have not been included in the itinerary, these additional costs shall be paid immediately by you, unless an alternative arrangement is made and agreed to by both THE AGENT and NORDFOLK.

We do not provide line item breakdowns due to many of the services and tailored experiences are bundle together.

After we have received a request including a detail brief, we will appreciate an initial discussion with you in order to determine exactly what kind of experience the traveler seek. We propose an outlined itinerary and send an estimated price. If the itinerary including estimated total price is of interest, we will request a deposit. Post confirmation, we will provide with every detail tailored to the client’s and travelers satisfaction until agreement to every services in the itinerary and the exact quoted price provided by us.

LEGAL MATTERS

In case of any disagreement between parties that cannot be resolved without the use of court proceedings, the jurisdiction is a court in Norway and its decision will be final.
